The Sacred Land Film Project of Earth Island Institute seeks an office & business manager for a nonprofit educational film project, related to the production of a documentary film project on sacred places around the world, Losing Sacred Ground, and ongoing distribution of our award-winning film on Native American sacred places, In the Light of Reverence as well as other smaller films and associated public education projects.
Candidates should have a bachelor’s degree and three or more years experience managing and coordinating media projects, and be committed to social justice and environmental issues. We prefer someone with experience in public education. Please note: this position is not for aspiring filmmakers, editors or researchers, unless they want to gain administrative skills.
The majority of the job will be devoted to office management, including overseeing the project’s finances, and provide administrative support for a 5-year documentary film project and managing other programs and projects working with the Producer and Associate Producer. Candidates will must live locally, within easy commuting distance of La Honda, which is located in the Santa Cruz Mountains, half way between Palo Alto and the ocean on Highway 84, 1 hour drive from San Francisco.
The Office Manager will start 3 days a week and transition to full time after 1-2 months. Pay is $15 per hour, equivalent of $29,000 annual salary if full-time, which could include health insurance (after 6 months).
Administrative duties to include:
- Coordinate finances with our fiscal agent (Earth Island Institute), including expense reimbursements, check requests, deposits, and keeping accurate project books using QuickBooks Pro;
- Manage all grant reporting and generate financial and budget reports, funding application materials, funding & reporting calendar;
- Maintain record-keeping and filing of foundation reports, funding proposals and communication with funders and potential funders;
- Manage correspondence for the office;
- Manage and update database;
- Oversee office calendar to schedule meetings and events and track project deadlines;
- Maintain office organization, including inventory of supplies, filing, etc.;
- Coordinate computer maintenance and technical support contractors, and troubleshoot routine computer & network problems as they arise;
- Purchase/order production and office equipment, and oversee facility maintenance;
- Maintain the office when Director and Associate Producer are out of the office or on film travel, and assist in coordinating travel for producer, production crew & colleagues;
- Coordinate fundraising mailings to donors, activists, allies;
- Supervise an intern or occasional volunteers; and
- Coordinate tasks with other staff.
Additional responsibilities may include:
- Research and writing for website
- Sending e-mail action alerts
- Assisting with public education and outreach campaigns
- Conference and public event planning
- Production of film-related publications and promotional materials
- Organize/coordinate community film screenings
Qualifications:
- Must be extremely organized and detail-oriented. Must excel at and enjoy administrative & accounting/bookkeeping work (this is not a film production job!)
- Excellent written and verbal communication and research skills;
- Ability to organize office, manage deadlines, keep track of multiple details, take initiative and prioritize own tasks;
- Mac computer skills: Fluency in MS Word, Excel and FileMaker Pro. Experience with (or willingness to learn) QuickBooks, Eudora, Internet browsers and other software programs as need arises;
- Flexibility and patience with the hectic, unpredictable nature of non-profit, documentary film work;
- Sensitive to the complexity of indigenous peoples’ issues; and,
- Be willing and able to commute daily to La Honda.
