Accounting / HR Associate
Earth Island, founded in 1982 by environmentalist David Brower is a dynamic organizational home for over forty innovative projects promoting biological and cultural diversity around the world. Through education and activism, our projects promote the conservation, preservation, and restoration of the Earth.
The Accounting/ HR Associate is part of the Earth Island Network Services team and supports the work of our Director of Administration with a variety of Accounting/Financial, Human Resources and Administrative responsibilities.
These responsibilities include;
- Accounting support:
- AP/AR functions, including;
- reconciling invoices and allocating expenses by chart of accounts coding to project and sub-project accounts using Excel spreadsheets
- auditing invoice information and receipts and processing check requests
- entering AP info into accounting system, preparing checks, secure necessary
- signatures and distribute checks to staff or vendors
- preparation and tracking of AR invoices
- preparation of deposit slips, make bank deposits and update cash reports
- Transaction processing and reporting, including:
- processing wire transfers, preparing bank forms, ensure wire transfers are received and credited/debited properly, reconcile monthly wire transfer bank statements and enter on general ledger
- processing monthly credit card statements and reconcile by matching receipts with statements, allocate fess and card processing charges, prepare report for general ledger
- Audit support, including:
- sending out confirmation letters and tracking $500+ contributions for IRS Form 990 reporting
- Human Resource support:
- Conduct new employee orientation, complete benefit enrollment and ensure that all eligible new employees are added to all plans and handle any benefit plan changes for current employees, ensuring accurate and timely submissions by deadlines
- Review payroll after processing by payroll vendor and mail out checks
- Distribute, track and order commuter checks
- Administrative support and additional duties:
- Maintain accounting files
- Monitor due dates, prepare and submit various state fundraising registration compliance filings
- Prepare report on independent contracts for EDD, and other state forms
- Maintain account allocation codes and passwords for various office equipment, including, photocopier, fax and postage meter
- read meters monthly and prepare report for general ledger
- Provide back up phone and reception coverage
- Assist the Director of Administration and other staff as needed
Qualifications:
The ideal candidate will demonstrate, through previous work experience, attention to detail, initiative, flexibility, clear communications and an ability to juggle multiple priorities successfully. Qualified applicants should have good written, verbal, and telephone skills; be well organized and detail-oriented; with strong Excel skills. We prefer a candidate with previous accounting and administrative experience with at least one year of accounting or bookkeeping experience. Experience in benefits administration is a plus.
Hours and Compensation:
The Accounting Associate position is a Full-time, salaried positionjob in the offices of Earth Island Institute. The salary range, depending on experience, is $40,000 to $43,000; benefits include medical and dental insurance, 11 paid holidays per year, paid vacation and sick leave.
